Custom Fields

Has anyone used the "additional info" tab and created custom fields that work well for them? What additional info are you tracking? and why?

    I created custom fields in the equipment record so we could add filter sizes and also to keep track of registering equipment for the customers like need to be filed, filed pending and registration accepted.

  • Hey Lisa, I used the Custom Fields in the customer profile to define credit limits for that customer.  If they exceed their credit limit we can place a "soft" or "hard" hold on the account.  Really helps to keep good/bad customers & collections in perspective.

    We've used them for many things over the years.  Currently we have:

    Customer's CAGE Code

    And a bunch of insurance related fields for accounting/admin so they know who they've issued Certs, etc. to.

  • We use it to track if a customer prefers one tech over another, entry instructions, and other pertinent notes to that customer.

  • We use 4 fields in the Customer record.  Because of the way they display in the Qualify screen we are using fields 1, 3, 5, and 7.  Field 1 is for the local area name.  In Pittsburgh there are many zip codes and they are all Pittsburgh.  So we enter Baldwin, Whitehall, Bellevue, etc. in that field.  Field 3 we use for designating if there are conditions the dispatcher may want to know.  If Yes they know to look at the equipment list.  Field 5 is for the preferred Tech like Betsy noted.  Field 7 we use to designate a customer location problem.  Unfortunately in the past we did not use Location 00001 properly.  These are accounts that need fixed the next time we go there if not before.  Don't make that mistake!  We also use a custom equipment field for registration number like Adam does.

  • We use it as well to track Home models and prices for those whole house build outs.  That way we can run one report for that Contractor to determine if we need to change our base price on the models.
